VI. Director’s Reports
1. Ortega, Co-Chairman: KOA Day June 8. All teams invited
SCA Club Social set for 9/27 at Luchessi includes dinner, music and silent auction
Each team required to have committee rep on the social committee. The core committee meeting is next week. After that there will be a larger committee meeting and diversification of duties. Very important club event. Adults only.
Jane Rabbitt – putting together core committee. Meeting April 15th 904 Melanie Crt, Petaluma 971-0275 for directions and if interested in core committee.
2. Beechem – Referees - schedule for nor cal games coming out If you change a game, please call him at 888-1798 so that he can cancel the referee. Working on getting older teams referring classes completed. Each team should have adult or older player who can referee.
3. Halsteson - US Club Register –
In process of getting everyone registered for US Club. Have cards for all teams but two that are playing this weekend.
4. Angotti – Sr Team Mnger.
Make sure sign up for Regionals - deadline coming.
Rep question: – how/who pays for regionals when there is no money in a team account yet? He will get answer.
Will all teams be going to regionals? Sterling: yes Boys June 14-17, Girls June 21-24 U11-U17
5. Evenich - Treasurer: Get back to team and remind parents that if treasurer gives you a bill please pay and be cooperative.
6. Ziemer – Youth Coordinator
Have some odds and ends to hand out. Region V spring league should be out at the end of the week.
Behen – gave out address of new office. 800 Lindberg Lane, Petaluma, CA
Loaner uniforms are here for games.
7. Woerner -Secretary - Meeting notes will be posted on web site. Please
have representative participate in meetings. There is a fine for teams who
do not have reps present.
8. Mateo - Publicity – like to put stories of teams on the website. Each team needs a publicity representative. She will email suggestions for stories.
9. Sterling: DOC
Academy started with SCA and SCA north. Petaluma – 8 teams and 3 in SCA North.
Teams will play in NorCal Premier regional league in the spring. U9 Boys and Girls and U10 Boys. No U10 Girls team Teams will go to the play dates. Will not go to Manteca.
U11-U14 started yesterday – roll right into Nor Cal. Setting up games, fields and refs right now. Nor Cal is used in SCA as a gauge. Where’s our team at, who do we need to move around, what positions are players comfortable with – want to develop the players.
Olders have finished up but a few are playing in State Cup. Tryouts start this weekend. Sat 12th. Make sure teams know. Still looking for people to fill roles Sat and thru week
April 29 – end of year U14-U18 celebration at Luchessi. Susan Gerhing is in charge.
Info night will be April 28th, Registration May 1
Moving forward with U21 Girls team. Great for kids to have something after play youth career,. For Future and current college players who want to play beyond. SOL exists for boys this year. Next year we will have a boys U21
Spring Camp next week – 16-18th. 4-6 pm U9, 11 and 12s. 6-8 pm U10, 13, 14. Luchessi on the 16th, 17th and Kenilworth on the 18th. SCA North will occur in Windsor.
US CLUB regionals: One game per day played. For U14 and above good idea, but in the younger age groups he’s trying to convince US Club that they should move to two games per day.
Recommends that teams go and watch other teams play. If win need to travel. We’ve had one team win once. But can bring teams together.
When move into Nor CAL remember behavior – let the coaches do the coaching, and please don’t hassle the referees.
He’s talked to his coaches and set standards and expectations. Brand new season, brand new team – lets start setting the tone. Standards for players: being on time, what do when miss training, in red training gear, what do they do before practice starts, …..
We can always get better – are we setting our goals to do that?
U15 team wants to sell refreshments at the tryouts. Board agreed
10. Behen - Chair: SCA obtaining own non-profit status. Received pre-approval from federal government and waiting on final notice. Should get that within 90 days.
East Washington Park – Matt Thomas is representing the Club for fund raising to get the park completed.
Human Race – May 10th. All teams should participate. Biggest team fundraiser available throughout the year. All the forms can be found on line. Ziemer working on sites for the kids to raise money at supermarkets.
Player Assistance Committee meeting soon to go over the applications. Limited # of grants. Those players who have requested will get the information in the near future as to whether or not their.
Thank you to Stacey Elliott, Coleen Wenker, Sharon Whisman will take over role of Volunteer Coordinator. Kim Behen stepping down as uniform coordinator. Position is now open and available. Help us in finding someone. Other Board positions: Booster Fundraiser.

Jane Rabbit – for regionals does SCA have canopies? Behen – might be able to borrow from PYSL. Rabbitt – for East Washington park thinking of selling bricks to raise money. Emergency kits – way to replace things taken out of kits? Nor Cal – requests to make the process a little more streamlined. Sterling – that was restructured and now there is one person setting up the fields and refs. Need or want from older teams to hire someone to video tape games. Would the club want to look into this? Behen if there is a group identified we can give that info out. 2008 Season Brochure. Rabbitt would be willing to spearhead – but would need someone to assist. Agreement that this is a good opportunity to raise funds.

Behen: CYSA letter regarding Risk Management Memorandum to All CYSA Affiliated Leagues ad Districts letter from Pete Zopfi, CYSA 1st Vice Chairman - CYSA recommended that Dual Soccer Related Activities may jeopardize insurance coverage associated with CYSA and that the CYSA Board of Directors recommends the league clearly designate all soccer related activities in association with the specific organization that it is related to. – Tabled.

IV. Old or Unfinished Business:
East Washington Park - Still working on getting coordination together for the fund raising committee.
Job Descriptions for Board Members – Evenich – She can’t continue to do more then her position as Treasurer. Ortega: he can outline what he knows, but all those with tenure should email to him what their job entails. Ortega – will compile all the info. Really need to get open positions filled. All of the Board should be reaching out to teams and mentoring replacements.
Ziemer will f/u with Karen Turner about coordinating the Olders tryouts.
Evenich – need to advise SCA North that there is a need for more involvement. Ortega – Behen go to the WYSL and give specifics about what our club expects – i.e. representatives on the Board, treasurer, etc. Behen: time line – has a calendar on line. Angotti will send out PYSL timeline as a template.
2008 Player contract for the Sr. Team U18’s only – Behen recommendation that sometime in January get all players to commit to the team. Sterling – recommendation that the contract end earlier. Agreed.
Competitive Committee – one overall committee responsible for Petaluma Competitive soccer. Looking to do this in 2009 , will revisit coordination in summer 2008.
Training Pool – Sterling - Recommendation presented.
Equipment: Sterling asked PYSL to buy two quick goals and slides, and asking United and SCA to buy more slides. Cost is $550 Two Luchessi goals.
Ortega: Equipment necessary: Ice Chests, tables, chairs, 2 pop ups.
Merchandise: Angotti will assist in inventorying. Additionally, might be more profitable if there is one person responsible. Behen is already completing but unable to actually go out to fields etc. Sterling – recommends that a structure be formulated and then a volunteer be in charge of the program. Inventory to be completed by Behen by April 23. Week on email to design the structure. Set up by May 2. Get current inventory sold and then new energy with new items.
Send emails out for volunteers.
SCA North – would like teams to send representatives to representative meeting for each team.
U21 Team – Sterling – confirmed that we’re going to have a team. On verbal commitments alone there are approx 20 girls interested. Anticipate 10 teams in the league. Training T’s, Uniforms, fields. Sterling and Evenich to work together on pay scale and contract. Recommendation that the payment be made up front. End of April beginning of May tryouts and training starts. Season will run for 2-3 months.
Administrator for Team: not financially feasible at this time.
Governing rules – who is elected vs. appointed. Recommendation: Chair, vice-chair, secretary, treasurer. Ortega – need to put annual general meeting in our time line.
Budget – nothing currently. Evenich to present budget at 4/23 meeting.
DOC Contract for 2009 – will create timeline and present the timeline in 30 days.
College Camp – Sterling – working with college coaches to help run a camp. Sterling, Inc. would coordinate and retain coaches and fields etc and if can promote through SCA will give 10% to the league.
Board communication to team – Ortega –
Compensation to Board members – Ortega – need to consider potential that certain Board positions could be compensated for due to the amount of work done by those items. Behen – recommendation that this be tabled to f/u with the attorney.
Board homework – vision of the Club, standards. Recommendation that Franz come to an Executive Board Meeting. Behen is taking the lead on putting together. Initial form and ideas to be written up by Behen and presented to the Board April 23, Executive Board to give final reviews by May14th, Whole Board to discuss May 28th.
Club Social – combined with United? At this time would like to keep this as an SCA event. Have set up time for a core meeting next week.
Emergency Kits – Every year club should send a letter to the Petaluma Health Care District (Damon Doss). Woerner will send a letter to them requesting for funding for emergency kits. Don will send message to Wendy Thomas to put together kit for the locker at Luchessi.
Regionals – some teams are starting to ask if still a requirement that SCA participate. Angotti – thinks that at this time we tell the teams that this is a requirement for this year and then follow up if still want to participate next year. Sterling to send out communication to the Club.
Referees – Angotti – Beechem will fill the games for this weekend. Games will be posted soon and then refs will start signing up. Ziemer – does Beechem understand his duties as Referee Coordinator? Behen said he gave all the details of the job duties. Doesn’t know if Beechem has access to all the tools. Angotti to follow up.
Halsteson – is there a referee pool ? This way if there is a game where only one referee is present someone can call the pool and get someone to take place. Angotti – probably better to have structure thru Dave Strand. Their fear is if all contact for refs is out then they may get numerous calls from many sources.
Non – profit – Behen to follow up with the attorney about use of the non-profit number before getting final letter from the feds.
Player Assistance - $2500 SCA and $4000 matching will be contributed by PYSL per Angotti.
June Play Date – will be held at Wilson Ranch in Windsor. Need someone to chair. Ziemer to find a chair.
Older Night – Susan Gerhing is on board. Budget? $750. Room rental is $300.
Booster/Sponsor:
Mailing List – Behen still working on getting information from the managers. Sterling wants to send out welcome note to whole club.
New players in academy – Ziemer – able to get new kids shirts now from the inventory we have? Appears there are shirts in the inventory to accommodate.
Angotti – How can older teams file application for Regionals if team not formed and they have to summit money to apply? Evenich – the manager will need to register on line and pay with credit card. Then the Club will reimburse via a check request. Team may be in arrears initially.
