SCA Board Minutes - 2/13/08

1.  Call to Order:   6:08 p.m. by Co Chair Ortega
    Present:  Ortega, Wenker, Mateo,  Ziemer, Evenich, Beechem, Angotti, Sterling,
           Woerner, Booker.

2.  Approval of 1/16/08 Minutes – completed on line via email.  Amendment noted by    
     Ortega – meeting was held at Old Adobe School, not Liberty School.

3.Treasurer’s Report: 

Having difficulty getting final reports from team Treasurers.  Email has gone out to all managers, treasures, and coaches with time line, and for particular teams that are in arrears then notice will go to the parents as well.  Treasurer will set up meeting for all team treasurers to turn in bank stamps and provide finalized records if not already done.

4.Old or Unfinished Businesses:

•    Uniform:  Puma Rep came to meeting – Julio, showed the choices available for the new kits.  Board agreed on the uniform that is used by all the national teams.

•    Angotti advised of ’90 boys’ player, Michael Iniguez – SCA player who came down very ill and has been hospitalized. Club will donate $500 to the Michael Iniguez health fund set up through Circle Bank.  Motion made by Ziemer to contribute, 2nd Evenich.  Unanimous

•    Wenker:  Recommendation/motion to eliminate volunteer multi player family fee and additional hours and replace with a flat fee and flat set of hours for everyone – 8 hrs or $100.  Pay the $100 deposit up front.  2nd Mateo – unanimous. 
Presented new Parent Volunteer contract for 2008 season. 

Team Reps arrived 7 p.m.

•    Treasurer’s Report:  Needs information monthly from the team treasurers and a report on each player’s balance.  Very important to have this information at the end of the season so balance can be moved forward to the next season.  Further, those with a negative balance will not be allowed to tryout or participate until they have cleared the monies owed. 

•    Ortega:  Announced the uniform information for the current year.  New uniform will be a slight amount more costly ($25) then previously. Many national teams use this kit. 

•    Sterling:  DOC contract.  He currently has two versions which he will get merged.  Will be sent to Executive Board for approval and then signed.


Parent/representative idea – olders turn in their uniforms to the younger’s so that they can eliminate that cost.   Response:  Want club to have the same training gear and playing gear.  Want SCA to be recognized by all.  When have different uniforms in one season doesn’t have the club show as well.

•    Ortega:   Brochures:  Ziemer researched.  All American Printing - $78 to print 100.  Woerner -Motion that we move forward to have 100 copies of the brochures printed by All American printing.  2nd Wenker.  Unanimous.

•    Beechem:  Referee Classes.  Need to solidify dates.  Received funding from PYSL.  Will most likely occur after tryouts.  Should be around early March 2008.  Information about the classes will be distributed directly to the team managers.

•    Sterling:   Non-profit status.   Sterling and Behen met with CPA’s to discuss.  Most documentation already in place.  Sterling met with attorney who will draft articles of incorporation. 

•    Sterling:  Insurance -  Board of Directors will need to obtain their own insurance.  Agreed previously to $2 million dollar policy.  Ortega to follow up with Behen.

•    Tryouts:  Ortega: dates are available on the website.  Sterling:  make sure kids pre-register.  Older’s dates are set also, but need to be confirmed by the Board. 

•    Ortega:  Final philosophy and mission statement completed?  Positive effort between PYSL to highlight cooperation bet. DI and DIII.  Various members of both committees sat together and worked on document that clarifies DI and DIII play.  So parents will have information about what would be the best choice for their player. Thank you to all of those who gave input.  Thanks to Don Angotti for spearheading.

•    Elections:  No one has come forward with nominations to date.  Multiple positions have come available.  Currently need a US Club Registrar.  Please go back to teams or it you know of someone who would like to become more active at the Board level, please contact Behen.  Registrar is a critical position for SCA.  Imperative to get all the Player passes processed.  Sterling stated that current registrar will remain in office until can fill the position. 

Ortega:  Karen Turner also agreed to assist anyone new into the registrar position.

•    Fields:  Ortega Washington Street complex going forward with much community support.  The committee is looking for organizations using the facilities to raise $2 million.  Information will come out further.  Need someone to volunteer to help with the fundraising from the soccer community.
Contact Behen, Ortega, or Angotti.  PYSL setting up an account Friday – “Friends of E. Washington Park”.  Will link to web-site for smaller donations.  Trying to form a group that will solicit large corporations for money. 

Representative suggestion:  Could there be payment for the registrar position or would not have to pay dues/fees. 

Ortega will take idea back to Executive Board. 

Representative:  Anything going to be done about Luchessi?  Condition is horrible.  Sterling:  City had a fund to redo the fields, but there is not enough money in the fund at this time to replace the field because it was anticipated that the field would last longer then it has.  Angotti -  will look at getting someone to line the field. 

Representative:  Need someone responsible for field maintenance in SCA.

Representative:  Do other leagues and teams pay to use the fields?   Response – they do. Money goes directly to the City, but they’re putting much of that money directly into the field fund.  Angotti:  Petaluma Parks and Recreation fields person is trying to improve the fields and the equipment.   

•    Sterling:   Tryouts – make sure pre-register.  Helps with planning and preparation. 
Recently held tryout meeting with United and SCA coaches and several meetings before that.  One of the things that came out the meetings was the Mission statement.  Mission statement goes a long way to build positive relationship between all leagues.  Other plus is that combining academy into SCA academy.  Don Angotti’s involvement has been imperative in creating the collaboration and current climate between leagues.  Good leadership. 

SCA North launched.  Pre-sign ups already started.  In 9’s and 10’s already have 9-10 kids pre-registered per team. 

Younger teams very competitive at State Cup.  All younger’s season done. 

Older kids still finishing D V season.  Some teams have tournaments this weekend.  Others are getting ready for college showcases. Per local paper, 9-10 kids signed national letters of intent with colleges.  There are others who have not finished the process, but they’ll also be signing in the near future.  SCA – on older celebration night will do something for all the kids that signed.

Rep:  Needs info on how to reschedule district games.  Sterling – that all has to go through Kevin McDonald mainly because field space is currently limited.  Discussion of contact people in district for fields, and refs and process.

•    Ortega:  Other open positions:
Nor Cal Rep,  Club Booster   please – seeking volunteers.

•    Angotti – gave information concerning Michael Iniguez and where donations can be made – Circle Bank. 

•    Wenker:  Volunteer program – program done for the season.  She will be training
Sharon Whisman – who will be taking over next month as the Volunteer Coordinator.
Working on final report to the Board re: program from last year. 

•    Mateo – mailers went out to all previously registered in PYSL, United and SCA and WYSL re: tryouts and there was an advertisement in the Press Democrat yesterday.  Announcements and ads going in many papers with nearby communities.  Flyers going to all schools in Petaluma, Sebastopol, Rohnert Park, Windsor.

Representative:  recommendation might be able to get permission to put information into the school newsletter. 

Rep:  really appreciates the mission statement and what it represents. 

•    Mateo:  Gave information about the college recruitment that occurred for her daughter.  Daughter is a senior in high school.  She loves soccer and all she wants to do is play soccer.  Her daughter was approached by a college coach after a tournament in Irvine.  The school is out of state.  They visited the college and her daughter committed to the school. 

•    At next Executive Board Meeting need to modify guidelines/bylaws to include the WYSL representative.
