SCA BOARD MEETING
Old Adobe School 1/16/08
Call to Order: 6:10 p.m. Present: Angotti, Sterling, Beechem, Behen, Ortega, Mateo, Ziemer, Woerner Evenich, Wenker
Approval of Minutes: tabled
Treasurer’s Report:
Evenich: Everything seems to be slowing down. She got the Script information and will do a year to date report and distribute the money. Heard nothing from 90 boys. 97 girls need to update their account report. She’s hearing from the treasures for most teams and should be getting everything rectified per team in the near future.
Sterling – send email to teams in deficient that unless they hear from the team then the player passes will be pulled.
Old or Unfinished Business
i. Doc Contract: Ortega – committee believes they are near completion. Sterling – insurance issues resolved. Looking for a signed contract. Need to set aside time next Executive Board Meeting. Ortega wants to address that this contract is for this year only. Need another committee immediately to address contract of DOC for next year. Will need to look at changes in pay scale. Majority of current contract will remain in place, but need to look at pay scale. Need Booster or fund raising event to accommodate increases in cost of living for coaches and DOC. Shouldn’t come from the parents as appears currently at the threshold for them.
Beechem suggested a candy sale. Ziemer – any one interested in being the fund raiser/booster. Ortega will contact any recommendations. Sterling may have some other contacts. He also thinks we should put sponsorship information on the website. Behen recommended that we follow something similar to Sac United. Ziemer – do we need a committee or someone to head? Behen: he’ll look into the one program further. Sterling: a lot of the clubs make money by running more events, so perhaps SCA should consider running more tournaments, including an academy tournament. It would also create club atmosphere and create revenue.
ii. Club Brochure
Molly Cushman presented another rough draft of the brochure. Discussed the rough draft of the brochure. Woerner to secure agreements from parents for use of photos. Additional changes/corrections noted. Molly – may want to look into getting printing company to contribute towards printing since non-profit organization. Mateo – consider Office Depot as they have given discounts in the past.
iii. Referee Classes for Older Teams
Beechem: Grade 9 classes wouldn’t work for Class I. 18 hr class. Need to look at the dates and decide on a date. Costs are $6.50 for materials per person and $250 for the class. Need room and field for practicing. Need to give 30 days notice prior to the clinic. Age group U15 and U16.
Event/Special Committee Reports
i. Tryouts – Discussed when Team reps arrived.
ii. Awards Night – discussed when team reps arrived

iv. Uniforms:
Sterling showed the two options for new uniforms. Need to get new uniforms next year as Kobat is discontinuing current line. Can keep same sweat outfits for another year. New uniform will not be more expensive then the cost of last year. Kobat also said they have enough of the old uniforms in storage for the U18 boys. No U18 girl’s team planned for next year due to lack of involvement. Club expectations are will need new uniforms every two years as industry seems to change their styles every two years..
Ortega – will need new uniform representative.

Directors Reports
i. Treasurer report: have script information and will be distributing. Should have money in team accounts in the near future. Script balances from 12/06 to 8/07.
ii. Volunteer Rep: closing out the U15 and up accounts. If any players who are referring need to give that information so they get credit. Send Colleen the hours. Stepping down end of February and has a replacement. Will revise parent volunteer contract and present at next Board meeting. Is there access to referee data base? Angotti – what would be the purpose? Colleen so that she can send emails specifically to those families/parents. Behen – please send report for total # of participation. Wenker – having issues with older team managers responding with # of players. Putting together list of tryout volunteers. Sending out request to managers for assistance.
iii. Ortega: Molly Cushman working on Club Brochure. Close to being in final stages. Want to thank everyone who had input. Does anyone in the club have contact with a printer who would donate the printing? Please let Ortega or Behen know. Cushman also put together a brochure of the E. Washington complex. Showed mock up. Many volunteers needed for this complex seeking contributions from our soccer families. Angotti – all sports leagues in Petaluma need to raise the additional $2 million for the complex. Board has committee working with DOC on new contract for the coming year. Behen – contact doesn’t include fee increase for this next year.
Ortega. Hosted fundraiser last year – barn dance. Had little turn out. We will host again this year – September at Luchessi Would like to see approach where parents take ownership of the club. This event should really bring out the best of all who want to participate for the fun. Every team will need to send a rep to the committee meetings for the event to make the money successful. Money goes back to players to offset cost of Hoek Camp. Jane Rabbit has agreed to be the coordinator again.
The committee can determine the theme and how to make successful. Rep: Sign up on the sheet when register? Yes. Rep: recommended that the ticket sales start much earlier. If buy earlier then discounted and cost increases and get closer to the event.
Tryouts: February 23 and 24 at the Luchessi field. The times will be on the website soon.
iv. Publicity - Mateo: for publicity fee free to send photos and info directly to her.
v. Youth Coordinator: Ziemer: Has awards from the Awards night for some of the younger teams. Working on things for next year. Please provide her with feedback. Need final budgets from team treasurers.
Sterling: Some of the older players are asking that there be more structured social event for them. Gehring organized the event last year. Behen to approach her about doing that again this year.
Angotti: Shooting Stars is asking for possible dates for photos. Recommended end of June during Hoek.
vi. DOC: Sterling: Academy – launching new academy. Changes are Petaluma United has agreed that SCA will organize all U9-U10 teams via the academy. In return, SCA will not form White or 2nd teams any longer. Want to work closing with United in registering US Club soccer players. U0-U10 player pools, similar to this year, but the pools will be bigger. Should have close to 100 kids in the academy. Will have all the U9s come and then U10s – not combined. Allows more interaction between the coaches and the players.
Cost – for the SCA member will be less then what currently paying. Will get some subsidy for PYSL. United cost will increase. Can eliminate some of the team costs. Will make some tournaments optional and invitational only. Other tournaments will be optional only. Parents will be allowed to pick and choose. Thus, costs will vary dependant upon amount of participation. Want to learn from last year and improve from there. Will have more detail up front for all participants and outlines for managers and treasurers. Also will provide the philosophy.
U11-U13 entering State Cup. Use this event to prepare for top event. Coaches may try to win at this event. Random draw.
U14-U18 – Dist V league started. Getting schedules in two week “chunks”. 4-6 games total.

Tryouts – dates and times on website. Coach announcement for next year up on website. Coaching philosophy also there.
SCA North – press release out. Launching new program in Windsor to form teams. North was added to differentiate where the teams practice and are organized. All the rest is the same as current program, same staff, same philosophy, costs and guidelines. Will not form North teams beyond U14 age group. Want to look at other ways to bring more kids into the program and expand out to other areas of the county.
Meetings in Danville discussing the future of soccer -Nor Cal Premiere and US Club Soccer, participating in the leagues. Move away from CYSA and districts so that the current needs of the clubs can be met. Also looking at U21 team who would play in summer only for two months.
Hoek dates: June 29, July 1,2,3. 5th and 6th SSU 6v6. 12th and 13th will attend Elk Grove tournament and then break.
vii. Referee Coordinator: Beechem: tentative dates to submit for clinic dates March 3/1, ¾, 3/5, 3/6. U15 and U16.
viii. Chairman: Behen: Uniforms – Puma discontinuing current uniforms. Sold off all the excess to Nordstrom. Looking at two kits. Changing out shorts and jerseys. Will continue with the sweats and backpacks for another year. Puma has agreed to give SCA new uniforms at last year’s prices.
Looking at becoming own Non profit status before form teams in March.
