I.    Call to Order by Chairman Behen at 6:18 pm. 
    Present:  Tony Behen, Stacy Elliott, Josh Sterling, Shawna Ziemer, Eileen Mateo, Coleen Wenker, Darryl Brooker, Becky Evenich, Karla Woerner, Danny Ortega

II.    DOC Contract:  Ortega
    New committee chair Terry Catton.  Committee meeting next week.  DOC advised.

III.    By Laws:  Behen
    Committee Chair not present.  Agreed in last meeting that by laws can be approved prior to approval of DOC contract – will have some disclaimers under certain parts of by laws where information from DOC contract necessary.  Pend final approval to next meeting.

IV.    Brochure – Ortega
    Molly Cushman needs high resolution photos of current players and a quote from DOC. If have any photos or ideas send/email directly to Molly.

V.    89 Girls – Evenich
    No response from team treasurer, waiting on records.  Treasurer will be contacted for records so that the issue can be concluded based on committee recommendations.

VI.    Training Shirts Sponsor – Behen
    KOA is sponsoring for $500.  Logo artwork necessary to send to printer.  Ortega to get artwork to Kim Behen.  Cost for printing is $600.  Ortega offered to contribute $100 to cover the additional cost.   Concern regarding color of shirts (red) addressed.  Club to provide awareness communications to players and parents.

VII.    1st Aide Kits – Behen
    Mimi is to talk to DOC to get details on what is needed in the kits.  She feels kits that she is able to get are over supplied for the needs of the Club.   Woerner to f/u with Mimi and will buy supplies for 25 kits.  Evenich to provide budgeted amount to Woerner.

VIII.    Registration – Elliott
    Getting registration packets from teams.  Manager passes getting completed. Ortega advised her to submit for Board to PYSL also for coverage under insurance policy.  Coaches can manipulate rosters once the team is registered.

IX.    Club Fundraiser – Barn Dance – Ortega
    Jane Rabbitt meeting with Ortega and Ziemer next week.  Rabbitt will put together fundraiser committee soon.  She asked that the Board determine what function will benefit from the money raised.  She would like a chair for the silent auction.  Board determined the monies raised will be focused towards Hoek Camp for 2008.

X.    Fireworks Booth – Evenich
    She has kits for the ‘90-93 teams.  Also, on 6/11/07 in Rohnert Park by Target there will be a free fireworks show.

XI.    KOA Day – Ortega
    Committee met last week.  Over 15 volunteers came to the meeting.  Coast Guard will have volunteers there again.  Participants need to get their forms in now.

XII.    Sonoma County Classic – Sterling
    Sterling and Behen met with coordinator Bud.  Bud will solicit volunteers. Planning meetings will occur weekly through July and August. Each team with a tournament representative will come to meetings. Last year waived tournament fee for all SCA teams that participated even though there was a cost to the Club.  Registration cost is $525 per team.  The coordinator recommends a cost to SCA teams this year to balance the cost of their participation.  Those that volunteer can then have their hours counted towards their volunteer hours.

Ortega asked the goal of charging the SCA teams?  Elliott added that the Board should define where the profits are going.  Goal is to get volunteers.  Discussion. Board agreed to charge SCA teams $275 each to participate in tournament. 

Additionally there is a fields issue.  Casa High School will not approve any more SCA or United applications for use of their fields.  The reason was a parking lot was left dirty after a Nor Cal event and the application did not adequately reflect the number of participants. Also, groups affected included bingo players who use the building and teachers.  Ortega called the assistant superintendent of schools, Steve Bolman.  Bolman agreed to keep revocation of all applications through August and September.  Will open up applications for other dates after that.  Ideas for other fields that could accommodate the tournament should be submitted to the Board or committee. 

XIII.    Hoek Camp – Sterling
    Elliott asked if teams traveling on Thursday could get a slot earlier then 5 pm to 8 pm.?  Sterling to see if adjustments in schedule can be made.  Also will get “drop off” passes for parents.

Discussed cost to participate.  Teams are uneven – some have 15 players others have 25 players.  Thus, to even out the costs per player, total cost broken down by player rather then team.  Total cost: $115 per player.  Cost will be charged to the team regardless of whether or not player participates on July 1. 

Parents can host coaches this year to meet volunteer hours.  They would be responsible for housing, light breakfast, driving coach to and from the field.  Additionally, to complete volunteer hours a parent(s) can be responsible for picking up and delivering lunch each day to the field.

XIV.    Players dropping – Wenker
    Should volunteer fee be returned if player dropped?  Board agreed that if drop occurred prior to 9/10/07, then volunteer fee to be returned.  If a player drops, send Stacy Elliott notice immediately so that she will not register the player. 

XV.    DOC – Sterling
    Would like booklet made of teams.  Secretary to send request to managers for list of teams, names, addresses and phone numbers.

Sterling and Andrew Ziemer meeting with Petaluma United to debrief on last season. 

Should have registration night next season for olders earlier so that passes and rosters can get produced earlier. 

XVI.    MISC.

Sterling - concerns with one team manager who is giving out mis-information regarding the Board and SCA.  Seems disgruntled about something and is disrupting the team, coaches and the Club manager. Woerner to call and see if manager will share concerns with her/Board to resolve.

Ortega – some families are sponsoring other players.  The Board should recognize those families for their team contributions. 

Also, Club should send a letter to the Petaluma School District advising the importance to the players and parents to use the school fields.  It helps off-set the costs.  Additionally,  want to continue to build/foster a working relationship.  All future applications and use will meet expectations. Secretary to send letter to school district.

Ortega – requested use of items from United for KOA day.  Was told that use would not be allowed because one pop up tent was damaged last year.  Behen noted that SCA agreed to pay for the pop up.  United was to purchase and submit receipt for reimbursement.  This was not done.  Board is more then happy to buy pop up.  This will be done ASAP.  Need to continue to rebuild relationship with United.
