SCA Board Meeting - Nov 27, 2006
Tuesday, 20 March 2007

1.     Call to Order:
Present: Eileen Mateo, Danny Ortega, Tony Behen, Karen Turner, Terry Catton, Karla Woerner, David Rabbitt.

2.     Approval of Minutes: November 13, 2006 - Tabled

3.     Treasurer's Report - Catton.
Only team in arrears is the 89 G. Invoice received from PYSL for NorCal Games for referees. Will need to break down expenses per team. Report re: Treasurer's responsibilities completed by Terry and will be sent to the coordinator.

4.     Old or Unfinished Business
i. DOC Contract - Ortega - completion is pending, as committee waiting for review by Sterling.
ii. Bylaw review - tabled. Rough draft to be send to Board in the near future.
iii. 1st Aid/CPR - course completed by all coaches. The course was well received. Changes needed to the medical kits based on feedback from the instructor. Working on getting the additional items needed. Letter to be sent to Petaluma Health Care District to fund medical kits. They've donated in the past.
iv. Booster Clubs - Behen spoke to Herb Ziemer. Want to introduce the new club at tryouts. Behen requested the Board Booster Representative draft policy and procedures for one booster program.
v. Club Brochure - no current report
vi. Audit of Books - Catton - waiting for Kathy Dolcini to assist to get books in line and once done, books will be given to auditor to review.
vii. Academy - Sterling drafting information on the proposed academy program. PYSL agreed teams involved in District Fall League and will be registered as Div III teams. Email from United - consideration to teams in CYSA Fall League. Still working out the details.
Ortega expressed that what was presented tonight differed from the original idea. The original proposal said there would not be teams. How would it play out if have Div III teams and other kids not related to teams? Behen said PYSL said they would like to see teams participate in Fall/Winter league. Can't register with CYSA as an individual, need to register as a team. Name of program suggested is SCA & United Academy.
Ortega noted that SCA built a name for itself and that SCA now draws kids interested in competitive soccer from all around and outside of Petaluma. There may be some confusion with a combined name. Rabbitt noted that people who participate in SCA want to be in competitive soccer, especially U10 participants. Further, SCA already has an academy program. Why is it being changed? Behan - financially cost not that much difference between SCA and United. Turner stated if under SCA program or United costs should be commiserate with the program. Mateo asked the goal of the program. Behen noted that the goal is for players to get better training for players depending on their skill level and further develop their skills set.
7 p.m. Team Representatives arrived.

6.     Director's Reports
i. Booster Representative - Rabbitt
Field meeting last week before the Petaluma Parks and Recreation Commission. Approximately 60 people showed. Good discussion. Ortega noted that he attended and spoke at the meeting. Parks and Recreation Commission noted they are interested in going forward with the project. City to come up with ½ of $6 million price tag and the community to be responsible for the other half. Concerns shared by neighbors - but over all the response was positive. Possible the new field complex could be completed by 2008.
ii. CYSA Registrar - Turner - teams going to State Cup need to get roster changes in ASAP. She is stepping down from her position at the end of January 2007 and it takes a while to get the changes completed. Therefore, send all changes soon.
v. Nor Cal Cup - Behen - home games moved to Lucchesi. If go to finals, location changed and new location not yet announced. Spring league - SCA will register all teams.
vii. P/R - Mateo - encourage teams to submit articles. Reports of wins/loses also good. Press Democrat Blog - can submit story on team there also. She will send out email address.
Behen - an SCA coach is now traveling in Europe and attending soccer training, etc. He will report daily regarding his experience. Behen will send reports to team managers.
Treasurer - Catton - U9 and U10 financial contract runs through November. Make sure players caught up financially. All teams make sure players caught up on paying expenses and training fees or they will not be able to register next season.
PYSL sending bills for Nor Cal games (U11-U14) for referees. These fees will be divided amongst the teams and deducted from the accounts.
xiv. Coordinator's Report - Behen - PYSL hosting State Cup finals at Lucchesi for U11-U14. Finals in February 2007.
Fall Survey result - great response (60%) response rate. 2 things measured mainly. Value of fee:  2.9 rating and 3.35 total positive on all questions across board (out of maximum of 5). Summer break appreciated by all. P/R representative to write article about the survey results.
SOL wants a relationship between SCA and themselves. When SCA players register next year will get packet from SOL with 4 free tickets to a game. In exchange, SOL will hand out flyers re: games to all SCA players.
Nor Cal Premier: Thanks to Gina Monraz for putting together the food booths, Rick Mitchell for fields, Herb Ziemer for coordinating and Stacy Elliott for putting together referees. Also, thank you to all those who volunteered to help.
CYSA - U 14 and up winter league waiting on league schedules from District 5.
Many open Board positions and opportunities coming up. Please let team members know.
xv. DOC - ill
Representative asked if know when breaks will be scheduled for next year? Behen - will talk to DOC and see if he can get out season play ASAP. Expect the U9-U14 break to again be last three weeks in July.
Behen noted that coaches should also be announced in next two weeks.
Representative asked for winter camp dates. Date on web site.
Ortega noted that as representative of teams all know parents who make things work for the team. If know of a person who would be an asset to the Board, please give name to Behen and also remind parents on team of opportunities.
Next team rep meeting will be in January.

5.     Event/Special Committee Reports:
ii. Barn Dance Social - Behen noted the Board will set date for Spring. Crane Mellon Barn possible. Turner - idea to have shuttle back and forth. Could be fund raising opportunity for older teams. Ortega - wait until teams formed. Looking at May 2007. Good chance for teams to get to know each other.
Tryout information should go out in December. Ortega noted State Cup 2 years hosted. Negotiated with Jan Bull about profits in past broke down between the (1) gate and (20 concessions. Fence put up around Lucchesi and people pay to get in.
PYSL - election coming up for president all teams with in SCA have vote. At annual general meeting, asked to name coach and volunteer of the year. SCA should nominate volunteer of the year. Ortega nominated Gina Monraz. 2nd Karen Turner.
Coaches contract - Catton suggested that a mandatory invoice date per month be added. Contract - Ortega - additionally, Josh's coaches don't sign contract.  He suggested the coaches read and sign policies and guidelines stating they are aware. Rabbitt - have final draft reviewed by an attorney?  Behen, yes, this will be done.
December 17, 2006 Coaches' and Board holiday dinner. Turner motioned that the $300 left from the summer coaches/board event be carried to the winter party. 2nd Rabbitt. Motion carried unanimous.
