Sonoma County Alliance (SCA) is devoted to developing highly skilled youth soccer players who can successfully compete on the field with the best competitive youth soccer teams in the region. In order to accomplish this goal, SCA needs volunteer help from its member families to assist with club sponsored tournaments, programs, and fundraisers. Therefore, the parents/guardians of each player are required to sign a Volunteer Contract and submit the requisite fee, which will only be returned upon the successful completion of the required volunteer hours. The Parent Volunteer Contracts and Parent/Referee Volunteer Hour Tally forms are available on the FORMS page of this web site. How To Earn Volunteer HoursClub volunteer hours are earned by helping with CLUB SPONSORED EVENTS AND ACTIVITIES. It is important to distinguish this from team events - - helping with a team car wash fundraiser does not qualify for volunteer hours toward the return of the volunteer deposit fee. Club sponsored events and activities that do qualify are:-SCA Award Nights (U9-U14 February, U15-U18 April) -Tryouts / Information / Registration / Uniform Nights (March/April) -KOA Day (May) -NorCal Play Day (June) -Fireworks Booth (June 28 -July 4) -SCA Academy Cup (August) -Sonoma County Classic (September) -Parent Kick Off Social (September) -SCA Board Positions -Field Preparation (putting up/taking down of nets, filling in holes, etc.) -Refereeing Youth Soccer Games (all PYSL, Petaluma United, SCA games count, even if paid). -Spanish Translation Hours can be obtained quite easily if a parent steps up and chairs a sub-committee of a particular event or volunteers to help with the advance work leading up to an event (i.e. working on T-shirt orders, ordering and picking up supplies, etc...) Of course, taking on a facet of one of the Club's tournaments, such as managing the snack bar or coordinating the tournament field marshals is an excellent way to earn virtually all of one's hours on a single task. Donate Volunteer HoursIf a family wishes to donate volunteer hours to another player in the club, it is necessary for the player to be named at the time the hours are worked. Volunteers need to sign in at the event and make a notation on the sign-in sheet that the hours being worked are to be donated to a specific player.PolicyEvery player's family must complete a Volunteer Contract and pay the required deposit fee. Families may complete this task at the Sonoma County Alliance's Registration Nights. After the registration process has finished, a list will be presented to each team manager of the players who are delinquent in returning the Parent Volunteer Contract and payment.If a family missed getting the paperwork completed at Registration Night, the family will need to mail the signed contract and payment to the Volunteer Coordinator. Any player whose family fails to sign the contract and submit the fee may be barred from playing in league games and tournaments until the Volunteer Coordinator receives such paperwork and payment. Team managers and team treasurers must fill out the contract and pay the deposit. Team managers and treasurers will only need to note on their contract which team they are serving. Each team is credited with only one Club Volunteer exemption for the manager and one Club Volunteer exemption for the treasurer. (If a team has co-managers, only one of the managers will receive the exemption.) Also, this exemption is non-transferable; it cannot be donated to another family on the team. If a manager or treasurer relinquishes their post during the season, they are no longer entitled to the exemption. The exemption passes to the new team manager or team treasurer. At the conclusion of the playing season, managers and treasurers will have their Volunteer Fee returned. Managers and treasurers do not need to submit tally forms. Sonoma County Alliance Board Members also need to fill out a contract, but can forgo the task of writing a deposit check. All Volunteer Deposit checks will be held and not deposited until October 15th for U9-U14 players or January 15th for U15-U18 players. If a family has players on both a younger team and an older team, the volunteer hours deadline is October 15th. All completed Parent or Referee Volunteer Hours Tally sheets are due prior to the deadlines stated above. Deposits will be returned to families who have successfully completed their volunteer hours via their player's team accounts. If checks have not been cashed, the original volunteer hours deposit check will be returned to the player's family. After checks have been deposited, volunteer credit is made against individual player team accounts i.e. no check will be issued. Validation of the volunteer tallies and the crediting of families will happen twice a season: October 15th and January 15th. Volunteer Deposit: $100 per family Hours Required: 8 hours per family Volunteer Fees collected will be reserved to pay for services where the club was unable to find volunteers or donations. Fees collected that are not used during the club's fiscal year will be allocated to the purchase of Equipment and Training Gear. Families receiving Player AssistanceFamilies awarded Player Assistance are exempt from the volunteer fee - but are REQUIRED TO FULFILL MANDATORY VOLUNTEER HOURS. Upon approval of scholarship, your volunteer fee check will be returned to you. Failure to complete and report hours will result in a negative report, and upon action of the Scholarship committee and Executive Board, could result in: the forfeiture of any scholarship funds in the future; holding of player pass.Procedure1. A player's parent/guardian must sign the SCA Volunteer Contract and submit with the volunteer deposit. 2. Volunteer your time at CLUB SPONSORED EVENTS AND ACTIVITIES. Make sure to SIGN IN AT EVENT to receive credit for time volunteered. 3. If you did not sign in at event, record your volunteer time via the Parent Volunteer Hours Tally Form (found on the FORMS page of this web site) and send to current PV Coordinator. It is the parent's responsibility to keep a record of their completed hours. If you are claiming hours that were not worked during a specific activity/event or you did not sign in at an event, you need an authorized signature. This would be whoever was chairing the event you did the work for, or your team manager who can verify your work. Once a family has reached the volunteer hour threshold that is required, photocopy the tally form (retaining a copy for your own records) and send the original form to SCA Volunteer Coordinator. 4. Families claiming referee or Spanish translation volunteer hours must submit a Referee Tally form or a Parent Volunteer Hours Tally form (found on the FORMS page of this web site). 5. The Parent Volunteer Coordinator validates submitted form. 6. The Parent Volunteer Coordinator returns check or credits player's account.
