SCA Meeting Minutes
October 23, 2006

1. Call to Order 6:25 p.m. Present: Karen Turner, Tony Behen, Terry Catton, Josh Sterling, Karla Woerner, Eileen Mateo
2. Approval of October 9, 2006 Minutes - Tabled
3. Treasurers Report - Recommended the Board hire a CPA or bookkeeper to look at the books and give recommendations for future accounting. Matter tabled until quorum present. Recommended that Board find firm that's familiar with non-profits. Get names and costs and present at next meeting.
Karen Turner stated the next meeting can be held at her house.
Catton - Teams slow in making deposits 89B, 89G. Letter going to 89B credentials to be pulled if don't make current their account. 89G no contact from treasurer. 96B White - 3 players making efforts to earn and pay money. Wants to see of PA money can go to team rather then individual players.
Field space for SSU paid. Still have $3200 in budget from this line item. Got $50 back from Rohnert Park. Still owe stipend for fireworks booth? General overall financial health good.
Getting check requests for managers checking into tournaments rather then coach. Are teams aware that they are paying for managers hotel room for the night they check in the team? Consensus - yes.
4. DOC Contract - Sterling asked committee to finalize draft from last meeting. Done and sent to Sterling. Waiting on final meeting.
ii. By-laws - draft sent to DOC and coordinator. Once completed will be sent to Board for review.
iii. 1st Aide - Set for November 14th 6-10 p.m. at REACH building in Santa Rosa.
iv. Survey - Tony working on report. 200 submissions. 54% response which equates to 8-10 per team average.
v. Grandparents Club - Herb Zeimer contacted and asked to move forward on proposal.
vi. Brochure - photographer contacted and agreed. Cushman given contact information.
Sterling wants separate brochure to promote the program. Club agreed okay to have 2 brochures. Sterling will contact Cushman.
vii. 100 Club - tabled until quorum
viii. Collections Commission - Idea in general is to have a person or committee that is in charge of collaborating with P/a and treasurer in getting information initially to P/A participants, meeting with players, parents, families if account in arrears, keeping up in general with P/A participants and act as the liaison between those players, the treasurer and P/A committee. Sterling - position will need to be added to bylaws.
5. Event/Special Reports
i. College Night - power point presentation November 2, 2006. Have large room in Lucchesi.
ii. Nor Cal Cup - 11/18/, 11/19 - need point coordinator. 108 teams - 12 fields. Working on getting fields in M Park and S Park.
iii. Barn Dance - move to spring. Tony will work to get date set and reserve room.
iv. Tryouts - final dates set. Field will be scheduled. Tryout coordinators meeting 10/24/06 to discuss. Need materials for advertising, flyers and coordinating with United. Hopefully brochure will be done by then.
Last year coaches felt rushed with 2 week process and short amount of time confirming players want to play.
v. End of Year Event - Katya heading up - 2/6 at Elks Club. Susan Gering will head up older teams event 4/3/07 @ Sports City.
vi. Board Elections - Positions that will be open:
Treasurer, Fields, Uniforms, Sr. Team Coordinator, Youth Team Coordinator, Nor Cal Coordinator, Registrar, Secretary, Referee Coordinator.
Coordinator - Behen: Thursday, November 2 representing SCA Club at District V meeting from planning older teams playing league. Proposal - return to classic league style rather then jamboree style. Now have all weather fields and can go back to traditional style.
7 p.m. Team Representatives Arrived:
Coordinator welcomed the representatives. Usually meet at the Bank - but Bank requires insurance. Will move back downtown after resolve that issue.
Directors Reports
ii. CYSA - before State Cup make sure rosters in order. Managers talk to coaches to see what coaches on roster especially if coach needs replacement or assistance. Has 2 teams waiting to hear from re: 2 players double registered. 90B and 91 B. Please have managers contact Karen Turner ASAP.
iii. Fields - Behen - getting close to day light savings. Lose SSU when rain starts and other fields with no lights. Sterling - when lose light, lose SSU. Have Lucchesi on Monday and share other night with United. Other days Lucchesi taken by other leagues or teams. Prince - some conflicts with softball. After Nor Cal Cup - younger teams done. After Thanksgiving some breaks and small amount of teams needing fields. Karen - talk to Kevin about fields? Sterling: Monday SCA, Thurs United already agreed. United day not as utilized as SCA, might be willing to share.
Team Rep - M Park completely out? Sterling not entirely - requires money and RP will need to release. He'll ask. Options? Prince a possibility if softball moved. If don't have that option need to get creative - i.e. CASA or PHS football field - Might cost $$$.
v. Nor Cal Cup - Behen - Scheduling home games of SCA. Trying to get November games at SSU and December at Lucchesi. Referees - rescheduling very hard. Sterling - refs like to ref 2-3 games in a row, so don't like going at SSU for only one game.
SCA Nor Call U9-U10 Cup - 11/18 and 19. Over 1200 teams and profitable to Club. Looking for chair to be at the event two days. Need point person there. Details?? Sterling - day of - committee to check in teams. Concession - Gina. Update scoreboard, make sure lights are on. Really just a presence during 2 days - that people report to. Might be 2 locations. Hopefully at M Park. Need to finalize with City. 8 U10 fields @ M park. Team Rep - Need Refs?? Yes - many. Pay? Still need to find out.
vii. - PR - Mateo - not many articles lately. If had really good league game send info to her. Boo Fest this weekend - send in articles. Many articles on website to review.
viii. SR Team Mgr - Behen - State Cup Applications due 11/1 for all age groups. Can submit on line (fax/copy goldenrod) or traditional method.
x. US Club registration done online. Need to scan birth certificates and applications to register. Anyone have a scanner want to donate - let Board know.
xi - xiii - no reports
Treasurer when make monthly installment payments that is for previous month. Thus, if player drops after 5th of month still owes for that month. Remind parents - especially with younger kids need to get caught up. If end season in arrears can't tryout unless get balance due paid. Also, if player chooses to continue with SCA money will follow player if end with credit. Don't sign transfers unless financially current.
xiv. Coordinator - working on tryout calendar. Need to finalize fields.
End of year events - tentative dates 2/2 Elks Club and 4/3 Sport City. Next month Board/Committee elections process beginning. 8-9 positions open. Really need people to step up to assist. Look for nominations in November. Finalize in December and then vote in January. Responsibilities for each position?? Tony - Descriptions in guidelines - but very short. Can have current position holder write up description. Equipment and expertise needed also.
Nov. 2 representing Club at District V winter league meeting.
Winter Camp - hired Pepinjn to conduct camp and skills training New training dates announced and can be found on website. Pepinjn offering other camps also. Those are open to all kids.
xv. DOC - tryouts general time frame identical as last year. More time for notification to players of selections. Announce dates tomorrow or so. Announce coaches mid to late February.
High School teams doing well.
College Night 11/2 at 6:30 p.m. Lucchesi Center. Any player 8th grad thru HS good program to watch to get idea of what need to do to prepare if want to play college ball. League play wrapping up -
U9, U10 Evaluation out this week. Coaches told need to go to parents and follow up that this happens. U11-U14 due 11/1 to Sterling. Review out mid Nov. Olders final Jan/Feb. Coaches Performance Reviews done - best coaching staff ever. Review done twice a year. U16 and olders recommended not attend State Cup - idea is to get kids in front of college recruiters. Nomads occurs same as State Cup. So recommended go to college recruiter tournaments. HS Academy underway. Last one is 11/5 at SSU.
Blog - Press Democrat (soccer blog). Trying to help succeed. If have articles - Eileen can add to blog. Eileen will send link to managers and Behen will put on website.
Allstars - PYSL and Untied coming up next week. Launched scouting department to recruit and scout players. Handing out flyers, objective is education. Program Reviews. DOC and Assistant DOC meet with Kevin MacDonald and Dave Mitchell/Ed Gomez. Looking at goalkeeper program and adding striker/attacker training. Also -work on scoring along with goal keeping training. Coordination training, i.e. learn how to run. Sports Psychologists - coaches training and working with parents and kids. College Seminar - get actual college coaches do Q & A. Hoek - improvements? Referees - talk to league and all HS kids need to take Referee course - just a thought. Discuss with league (United/PYSL) changing u9-u10 academy to 4v4 system wont register with CYSA. Get more touches, training and development. Kids more comfortable with ball. Working out logistics and administration. Done all over the world. Europe especially. Hoek next year? Yes. Winter league managers/coaches meeting? No date set , but have coaches send in preference.
Team Rep - doing anything to Boost White Program next year? Sterling "Yes" starting with recruiting. But key is getting in appropriate competition, keeping interest/participation, start building at bottom. Only other option is to make 1st team larger and tell others can't participate. Team Rep- if want white program to work needs to be liable from beginning. People paying a lot of money and going to competition with only 8 players. Behen - need to identify committed players. Also tryout rushed and decisions made to form teams hasty. This year new system.
7. New -
Sold On Line - donate stuff and they well and give back 60%. They photo, market on EBay, sell, transport. Can target thru league - money can be used to off-set Hoek costs or anything. Vale $45 or more.
