SCA MEETING MINUTES                                                                                    

September 25, 2006 Bank of the West
1. Call to Order 6:10 p.m. Present: Katya Anderson, Rick Mitchell, Danny Ortega, Karla Woerner, Eileen Mateo, Terry Catton, Dave Rabbitt, Josh Sterling, Karen Turner, Tracie Hankerson. (Absent Tony Behen, Gina Monraz)
2. Approval of August 28, 2006 meeting minutes: Rick Mitchell moved to approve the minutes as presented, 2nd.  Motion passed with one abstention.
4. ii.  SCA By-laws - Katya Anderson stated that the by-laws are actually guidelines and her committee will have something compiled for the next meeting for the Board to review.
Danny Ortega asked if the revised guidelines reflect an approach for strong partnership/relationship between SCA and PYSL and United?  The guidelines currently state United Coordinator should sit on SCA Board.  Coordinator is appointed by PYSL. Generally though, the Coordinator appoints representative for SCA Board and this has not been done. What does the Board see as best for SCA representation with the goal of a strong relationship with Div III?  This will be addressed at future meeting.
4. iii Referee Proposal - tabled
4. iv. PYSL matching funds. PYSL promised $1500 per U9 and U10 team and $2500 to Player Assistance, and matching up to $4000 for sponsorships. Tony Behen working with PYSL for securing funds.  It was recommended that Board rep ask if PYSL will also match monies made by PA at concession stands. Should emphasize to teams the matching program.
4 i. DOC Contract - Danny Ortega – committee will call meeting next week. Nothing new to report at this time.
4. v. 1st Aid/CPR - provider offered place to hold the class and DOC has not heard back since as to date to hold class. DOC will schedule date in near future.
4. vi. SCA Club Survey - survey still available to be completed.
3.   Treasurers’ Report: (Terry Catton) –  re: US Club Soccer - many players and coaches were renewed who should not have been. $130 extra charge for this from US Club.  Also, players who are in arrears received letters and those that still have not paid will be dropped. Currently there are 4 players who will be dropped. Additionally, there is one player who dropped on his own and owes approximately $300.
Board member asked how many coaches know about the issue that one of their players will be dropped and credentials pulled? Coaches will be notified by Treasurer.
Josh Sterling suggested that the Club consider forming a collections or past due committee to stay on top of issue of non-payment by players in the future.
Terry Catton noted the Club should also consider a bookkeeper and administrator for next year in the Treasury dept.
As to delinquent players, the effective date of pulling credentials is the date of the letter advising they will be dropped. Letter to go registered mail. Coach to collect credentials and turn over to Senior Team Manager to hold. Also, United and PYSL are telling payers cannot transfer into their programs unless pay amounts due and owing to SCA.
Dave Rabbitt asked if the policy re: not being able to play in the other leagues is a policy to recoup money?  How can SCA assist players who cannot afford to play? Board member noted players have options through Player Assistance and many refuse to get involved. Question whether it beneficial to cut player off from all options to play if unable to pay or if they should still be given the option of recreational soccer. Maybe the policy should be only a competitive policy?  Further discussion necessary.
5. i. SCA Barn Dance - report to be received in near future.
5. ii Player Injury Committee - one injury is now a drop.
5. iii Team Photos - September 27, 2006 at Luchessi. No make up date scheduled yet.
7. New Business   Grandparents Booster Club – Herbert Ziemer is seeking permission to found a club for the specific purpose of raising money to fund a continuing education program for the SCA coaching staff.. Ziemer wants feed back from SCA community. If received as a positive idea he will get started. Booster club would be a separate entity from SCA and suggested dues will be taken from those who are part of the entity. SCA will not be adding any cost or fees for this.
Motion – Advise Herbert Ziemer to go forward with preliminaries for forming the Grandparents Booster Club, but must give a report to the Board before executing . 2nd . Motion carried unanimous, Josh Sterling Abstained.
7. ii. Player Injury Policy - (Rick Mitchell) One SCA player has an illness and is unable to play for rest of year.  Suggested an addition to Player Injury policy/procedure - "Any player that cannot participate in SCA for the remainder of the playing season by reason of verified injury or illness may be released from their financial contract providing all club and team obligations incurred prior to the ate of the injury or illness are current. Any player so released will be eligible to participate in SCA tryouts the following playing season" .
Motion (Karen Turner) to accept addition to Player Injury Policy as presented by Rick Mitchell. 2nd David Rabbitt. Motion carried by unanimous vote.
SCA Brochure (Danny Ortega) - Molly Cushman, a player parent, has volunteered to develop the Club brochure at no cost. Currently soliciting someone to write the content of the brochure. Could have separate slips to enclose with the Brochure with additional info, i.e. the names of people on the Board. Idea presented to have a generic brochure with inserts depending on who the brochure is going to. Cushman wants someone else to prepare text, she’ll do design and layout.

6. i. Club Booster (Dave Rabbitt) – He attended the improved general plan meeting.  New plan includes parks.  Parks and Recreation commission meeting to address issue that plan should include development of parks.  They are making head way in this issue.
6 ii. CYSA Registrar (Karen Turner) - if adding player there is a one week waiting period.
6. iii. Fields (Tracie Hankerson) - if changing a game, don’t just change without first checking with Tracie. Also, need to consider referees and charges. Some fields are booked out even if not on schedule.
6. iv. Fund-raising (Danny Ortega) - Club in process of developing Club brochure - one parent donating time to compile. Seeking from Club someone with ability to write up marketing text for brochure. If anyone knows someone or is interested contact Danny via phone at 763-9920 or 338-0679.
6 v. Nor Cal - no rep present.
6 vi. Player Assistance - profits from snack stands $3000 and distributions being compiled.
6. vii. P/R Media – (Eileen Mateo)  Steady stream of articles in website, Argus Courier and Voice. Team Reps please encourage those that write articles to send into Eileen.
Josh added - Sports Editor of Press Democrat has an online soccer blog. - Anything about sports he wants.  All info can go online on the blog. If blog does well can possibly start getting articles into paper.
Danny asked if it is possible to get list of alumni and put up-dates about their accomplishments on website? Josh has list of some players and will get to Eileen.
6. viii Sr Team Manager – nothing to report; ix. Uniforms – no rep present, x. US Club – no rep present, xi. Webmaster – no rep present; xii. Youth Coordinator – nothing to report.
6. xiii.  Secretary – not all teams have provided rosters. Teams identified and team reps asked that they confirm with managers whether or not provided and if not, to send to Coordinator asap.
6. xv. DOC - Harvest Cup - 2 teams in finals and both took 2nd. Emphasis at this age level is on individual development, 1v1 skills improvements, scoring, long kicking. Kids still continue to improve.
U9 G and U10B will be small change in schedule - rearranged so boys and girls have equal amount of games where boys play boys and girls play girls. 
Dist V - no games
Asked how many teams played fewer games on Sundays? Team Rep group said this is the case . U15+ in High School. High School Academy starts in October 10:30 am at 12 p.m. Dates October 1, 8, 15, 22, and Nov 4. Will have scoring exercises, scrimmages, cuppies, etc.  Just want to get teams back together to play during the high school break.
College night - Tues Oct 24, 6:30 Luchessi Cntr. U14 and older should attend; prepares players for process. Encourage players and parents to attend. Training will be cancelled that night.
Fields - Thurs. have fields at SSU until rains.  Noticed many injuries at Prince park, so needed venue change. During winter, may need to consider change to practice schedule, i.e. 4-5:30, 5-6:30 etc. may have to over lap some practices sessions.
Nor Cal changed - Sonoma Mtn not sufficient for them and if don’t provide better fields won’t play here.  Some teams had bye if 1-7. Teams 8-24 played and winners moved up, losers went into Bronze level.
DOC and Assistant DOC recently had 2 meetings.  One was with Kevin McDonald - PYSL president.  Met to discuss relationship between PYSL and how to improve.
Looking at a scouting program in the recreation U8. SCA coaches will watch games and give personal invites to players to attend SCA tryouts.
Second meeting was with United’s Ed Gomez.  Ed Gomez, Josh Sterling, Tony Behen, and Andrew Ziemer discussed tryouts - what worked and what didn’t, was timing good (end Feb, march), and ground rules on how to separate groups. Fine tuning process. Volunteer committee chairs - Marsha Caprara and Pete Hulzman
Josh and Andrew met with all coaches for performance review. Discussed SCA vision and philosophy - formalized process with coaching guidelines, number of teams, which coaches want to continue, whether they like age group working with, etc.
Club dues include winter training camps in December. 3 days long for all age levels. Dates out in next 2 weeks
Pepijn Lijnders, PSV Eindhoven skills coach, wants to come and put on camp in winter, date to be determined. Reminder - Petaluma HS v Casa HS games this week. Boys on Tues and Girls Wed. Come rainy season fields could be tight; will have to be creative in finding practice space.
Misc:  Treasurer - team treasures doing great job.
Several Board positions need to be filled. CYSA Registrar, Nor Cal Coordinator, Fields, Treasurer, etc. In order to keep SCA successful need people to participate.
Danny Ortega - Thank you to Sonoma County Classic tournament committee.  Tournament very successful. Committee personnel needs to change. Please communicate to parents this opportunity to participate. Josh stated the committee will start 10 mos in advance to develop and promote tournament; only hindrance is fields. Considering  2-3 big sites.  Want to grow tournament and will need a lot of help. Will continue to have tournament Labor Day weekend.
