SCA MEETING MINUTES

Bank of the West
1.     Call to Order 6:10 p.m.
Present: Tony Behen, Terry Catton, Dave Derby, Gina Monraz, Danny Ortega, Traci Hankerson, David Rabbitt, Rick Mitchell, Katya Anderson, Karla Woerner, Josh Sterling, Karen Turner
2.     DOC Contract - Committee representative, Danny Ortega, advised the committee had met with Josh Sterling to discuss the contract. The Director of Coaching is looking for stability. The contract was received well and the meeting was constructive. Committee recommends that contract be extended to April 2008 - not January 2008 as noted previously and add clause - "with ability to extend additional year if approved by the Board".
After review of the contract, found many references to US Club. PYSL is not part of US Club which may necessitate two contracts. Asked DOC for time line to establish performance evaluation of DOC and staff.  Board needs to set date as the target month for evaluation (October?). DOC to submit season calendar in January so ready before tryouts.
Further, DOC has separate contracts with PYSL and United for “out of scope work”, but reimbursement comes through SCA. This needs to be reviewed as DOC and coaching staff seen as SCA. Need to clarify "out of scope work", i.e. Camps.
Josh Sterling replied re: work or contracts for "out of scope" work, i.e. team camps, etc. he can request checks for be written directly to Josh Sterling, rather then have compensation come through SCA.
Josh Sterling said he’s mostly satisfied with contract but anticipates some wording changes as he’s looking for specifics on certain things and parts of the program are protected. A time line is a good idea. He want Board to establish a time line as well. He would like Board to implement extension clause for stability for club, staff and himself.
Board asked if time line could possibly be received by January? Josh feels that is possible, but said the Club needs to set tryout dates first. 
3.     Meeting Minutes:
July 24, 2006 - correction on treasurer’s report, "took out the dollar amount per team for Nor Cal”  rather then,  “took out $1 per team”.
Motion to approve minutes of July 24, 2006 and August 14, 2006 with corrections to July 24, 2006 as noted by treasurer brought, 2nd , and carried unanimously.
4.     Dave Derby - Nor Cal. Advised the Board his business very busy and as such unable to continue on the Board. He needs to resign - reluctantly. Thanked Board for opportunity. Regrets and thanks by Coordinator and that the Board appreciates all the work he’s done. DOC - also thanked Dave for work done and helping with direction of SCA. Dave Derby stated he will stay until replacement found and he’s willing to help with questions. Nor Cal released schedules, but Sept 10 and Oct 8 - dates need to be changed. Girls schedule to be released this week.
5.     Treasurer’s Report – (Terry Catton) Asked coordinator if PYSL funds for Player Assistance, U9, U10 coming soon? Coordinator to follow up. Letters sent to players in arrears. Email will go to treasurers tonight. Players have until 8/29/06 to become current. Terry needs report by 8/30/06 from treasurers or managers. Current number of players in arrears 16 and a good portion of the 91 Boys Team which is of concern. Team started late in season.  Suggests set up meetings with team manager, treasurer, coach, Board Rep (i.e. Terry) to see what can be done.
Monies distributed: $290 per team.  91 B received original $256 amount agreed as they did not participate in Fireworks booth or Human Race. Suggested that teams with players in arrears to talk to coach and pull credentials. Gina (P/A) has spoken to 91 B coach and has 3 players working this weekend at the tournament.
Bank of West requires certificate of insurance naming Bank as additional insured. 9/11/06 room not available. Karen Turner offered her house for meeting. Statements not out yet to teams this month, but will go out soon.
6.     Tracie Hankerson - noted she is also resigning January 2007 from SCA and United. Seeking replacement for her position. She has been with competitive soccer for over 8 yrs. DOC noted he has spoken with United and possibility of field scheduling being done by a committee which includes PYSL, Untied and SCA. Tracie concurred and said a field committee important as there is a need to work on a balance between leagues. Still waiting for Dist. V to send schedules. Thanks extended from the Board for all her hard work. .
7.     Coordinator: Referee Proposal - Website changed so SCA can schedule referees.
PYSL - matching will follow up with PYSL regarding funds.
1st Aid - DOC and provider working on date.  Should have it completed by the end of September 2006.
SCA Survey - launched today. Email not out yet to managers, Gina will translate into Spanish.
7 p.m. TEAM REPS ARRIVED
Tony announced two resignations, Tracie Hankerson (fields) and Dave Derby (Nor Cal) Anyone interested in the positions contact Coordinator via email or telephone.
8.     Director’s Reports –
Fundraising:  (Dave Rabbitt)  Barn Dance, new date of Barn Dance @ Woman’s Club Feb 10, 2007. Non-profit rate. Also, process slow with new fields. Currently behind in design review and contracts - City hearing that this issue is a priority. Funding, planning, construction - working on time line.
Brochures being finalized to send to companies.
CYSA Registrar – (Karen Turner) if a player is leaving please confirm dropping or transferring to another team. Also, note if the player will be playing class 3 or recreation? Players need to be up to date before any changes will be allowed. Mangers - team books are in. 3 teams have not responded for tournament registration Friday night - U15 G, U16 B U17 B.  Please have manager contact Karen.
Fields – (Tracie) Has game schedules but can’t send out until gets confirmation from District. Sept 9 and 10 will have games. Coach/manger needs to call re: fields if changes or picking up practices. Div I and Div 3 teams on Corona Creek and Sonoma Mountain only. Sept 6 Corona Creek closed to all soccer.
SCA doing all can do to schedule fields and get space. Coaches know on M/Th U9-U14 on Lucchesi (M) and Th (Prince). Older teams - winter league? Late Oct/Early Nov coaches meet to discuss and schedule . Schedule out by mid Nov. Dec off. Start again in Jan.
Suggested 15+ winter league go to old format - have all weather fields now and can have regular competition thru winter.
Player Assistance – (Gina Monraz) Huge opportunity Sept 2 & 3 to participate/volunteer for tournament. Call Gina at 529-8717 cell or send her an email if interested. Two food booths/snack bars. One at Casa and other at Lucchesi. Any one interested can work in a booth . Big fund-raiser. P/A did 8/19 food booth. Gross receipts $1200. Message to managers sent requesting food items. Encourage people to participate. Proceeds allocated to those who participate. Also, she’ll be at Prince 5-7 p.m. Thurs to accept donations. Suggested tournament coordinators send blanket email to visiting teams about snack bars. Tents and coolers needed, chairs, etc.
Nor Cal - Nor Cal Cup U11-U14 Boys schedule released. 24 teams accepted ranked 1-24. Teams need to work way into bracket levels.   Nor Cal schedules released. Working on getting fields. U9-U10's applications on line and still accepting. U14+ no schedule to date. U9-U10 will have Cup, will occur on one day November 17 or 18 (weekend before Thanksgiving).
Coordinator - 8/18 Nor Cal Jamboree. Thanks to Pete Hultzman for making it a successful event and to Stacie Elliott who scheduled refs. Sonoma County Classic – have requested U11-U14 provide volunteers. Exhausted that route and now asking for volunteers for : field marshals, food, and merchandising booths. Email sent today to all managers. Field Marshall meeting - 8/31/06 7 p.m. Lucchesi Community center. Board will discuss how to allocate all proceeds received from tournament. Big bonus is U11-U14 teams participate for free. Kids can come and help too. May need refs, fields need to be marked. Refs $18 line, $30 center.
DOC - re: Sonoma County Classic - tournament currently small, but anticipate it growing. Need to make it a quality event this year.
SCA Survey - out today. Encourage all to participate. Look forward to feedback. Biggest matrix for club to build change. Photo Day - Sept 27 Lucchesi, along creek. All teams given folders. Make Up day will be scheduled later. Soccer Fest - Thurs 5 p.m.
Website – re: team roster if team not listed, managers have not submitted forms. Roster requests information on parents for contact reasons only.  Private information will not be on the website.
Treasurer - statements not yet sent as there has recently been distribution to teams from fund-raising events that needs to be added to statements. Bonus money for individuals has come in for Human Race. Teams/players still have to pay on monthly basis, season fee.  Letters out to players in arrears - deadline to pay 8/29/06. Club health financially.
Team Rep questioned why fee increase? Response: changed way fees were collected. Took some prior team costs and put into registration fees.  Also, increase in registration with PYSL and US Club raised fees. Rep said their team is not getting any playing time and they’re paying for things and then not participating. DOC advised rep to contact him if there is a payment issue. 
DOC :
Jamboree - SCA teams did well.
U9 and U10 teams formed even teams. Emphasis on individual player development - mastery of ball. Request to change goal keeper program to include U9 and U10 level. This is a specialized position and training designed for older teams, but will change program to give U9-10 more opportunity to get goal keeper training.
U11-U18 August busy - many champions. U9-U14 start league, U15+ High school break until November. High School Academy days scheduled for 4 days. Will have schedule in near future.
Street Soccer - getting up to 40 kids, Tues Prince Wed - 4 p.m.. Coaches meetings next two weeks. College night October. 3 SCA players currently playing in Europe.
Injury Committee - one player injured, waiting on form.
Coordinator stated that Katya  will lead by-law committee. He is aware of members who want to help.  If interested contact Katya.   Brochure – suggested SCA find resource to design and develop brochure. Barn Dance - target Nov date. He’ll follow up on PYSL U9-U10 funds, and player assistance funds.  Recommended that September 11, 2006 meeting be cancelled.  Next meeting September 24, 2006 at Bank of the West.
