MEETING MINUTES 7/24/06

BANK OF THE WEST

1.            Call to Order at 6:05 p.m.  Present:  Tony Behen, Terry Catton, Karen Turner, Karla Woerner, Gina Monraz, Katya Anderson, Rick Mitchell,  Danny Ortega, Josh Sterling (7 p.m.)

2.            Meeting minutes of 7/10/06 request to correct spelling of names Mark Englin and Gina Monraz.  Motion to approve as amended – Danny Ortega.  Motion 2nd. Passed - unanimous

3.            DOC Contract Committee – (Danny Ortega)
             Discussion of prior recommendations from the Board to the Committee regarding
new contract for DOC.   Motion (Karen Turner) brought to amend Executive Committee to include:  Coordinator, Secretary, Treasurer, Registrar, Sr. Team Manager, Youth Team Coordinator and Director of Coaching.  Motion 2nd.  Passed - unanimous.

Team Representatives arrived 7 p.m.
4.            Event/Special Committee Reports
a.            Barn Dance -  date and time set.  Additional information to be provided soon and request for volunteers.

b.            Registrar (Karen Turner) -  Team Binders – some registration forms do not have parent signatures.  Make sure managers know that CYSA requires signatures on the forms.  Especially important the managers check they have all forms signed before tournaments and that managers check all credentials and have all player information, birth certificates, player cards and passes.  New forms available for managers. Karen will email managers about the new forms.   U-13 G White manager will get their binder this week.  If any questions re: CYSA v. US Club Soccer, call Karen Turner.

            c.            Fields – Board rep. not present
            d.            Nor Cal – Board rep. not present.
e.            Player Assistance (Gina Monraz) – Gina advised she is putting together report of money coming to various players from various activities they participated in.

            f.            PR – Board rep. not present.
g.            Sr. Team Manager (Rick Mitchell) – Asked that Team Reps pass on to managers that if they have any questions about SCA senior teams to call him.  He will send out email soon regarding the SCA tournament.  Volunteers needed to setup fields.  Please encourage managers to respond to the mail. Last meeting approved CPR/1st Aide training for all coaches.  This training should be concluded by end of August 2006.

h.            US Club Registrar (Staci Elliott) – all 2006 -2007 players passes have been issued and distributed to teams.  Mangers and coaches passes will be out soon.  Old passes are valid through the end of July 2006.

i.            Youth Coordinator (Katya Anderson) – U9-U10-U11  If any questions please feel free to call or email her.

j.            Secretary (Karla Woerner) – Compiling information for Board Directory of teams.  Will send email to managers requesting team rosters and list of team volunteer positions.

k.            Sonoma County Classic Tournament.   (Josh Sterling) -  The tournament’s success depends on volunteers.  All teams will soon receive requests for volunteers  - fields, refereeing, field set-up, field marshals, and food booths.  We want this to be a premier tournament so please encourage volunteers.  Additionally, if any one knows of a team that would like to participate, please let a Board member or tournament committee member know immediately.

l.             Coordinator (Tony Behen) :  PYSL granted initial funds/grants for U9’s and U10‘s.  Teams should see credit to accounts soon.  SCA Photo Day will be scheduled and announced soon.  Currently looking at several dates in September.

m.            Director of Coaching (Josh Sterling) -  Younger teams started up training again today after July break.  NorCal Cup – will be held on Sundays during District V playing league.  Could start as early as September and final in December.  DOC and his staff are looking at technical issues such as scheduling of break, i.e. was it position correctly in the season, and issues re: running US Club Soccer and CYSA calendar.  Older teams – High School Academy will run on Sundays during the break.  A few teams will have NorCal games.

Winter Camp:  some changes.  Current schedule:  U9, U10, U11, U12, U13, U14’s Jan 2-5, Older Girls 12/21-12/29 12:30-3:30 pm; Older Boys 12/27-12/29 4:00-7:00 pm.  Player evaluations for the older players will be distributed before August 17; younger players should have already received.

College Night – will be in the Fall.  He encourages all who are interested to start the process as soon as possible.  If anyone wants literature or information concerning how to compile letters, etc. to contact Josh.

District V – playing league.  He has the schedules and they are going out to the coaches for approval or amendments. Play will start the week after labor day.

Fields – working well with Casa High and other fields.  May lose ability to use Casa field after July 21, 2006 and searching for alternative locations.

Resignation -Josh advised he resigned his position at SSU as Assistant Team Manger.  He’s been involved at SSU since 1992.  Wants to focus attention on SCA and his family.

Training Camp – DOC and coaches all know that it’s been very hot.  They’re teaching the kids how to play safely in the heat and how to stay hydrated.  This is good preparation for tournaments.

Danny Ortega added that as to College Night, he advises parents to attend with their child.  Freshman and Sophomores can attend to get information on what lies ahead.  Josh added even those in 8th grade are encouraged to attend.   If players are interested in playing college soccer, its’ the club soccer where they get noticed – not high school.

Evaluation of Hoek – educational, highest level of coaches ever had since working with Hoek.  Expertise at specific age groups.  DOC and staff got to review the SCA coaches. Players learned moves and tricks.  Over all, very happy with experience.  Only issue is timing, i.e. participation right before July break – stops momentum.

n.            Treasurer (Terry Catton) -  Statements have all gone out to Treasurers the last couple of days.  Registration fees still owed by some and letters have gone out for money due.  Human Race money distributed if turned in by May.  Each team should have team coordinator give amounts for the individual players.  Additional money distributed in August as well as bonus money.  

SCA program based on seasonal program fees.  Even though team may be on break, players still owe monthly fees.  Please let all parents know.  We’re working on final numbers for fireworks profit distribution. Board will discuss how to distribute.  Getting emails on NorCal Spring League and how to pay.  Part of sign up fees go to NorCal, but each treasurer needs to send in check request to pay Nor Cal.  NorCal Cup – team still has to pay.


o.            Coordinator (Tony Behen) -  SCA survey will be available in August for completion by parents.  Will have survey on line as of 8/1/06.  Please encourage parents and colleagues to participate because the feedback is essential to developing the league.


Team Rep advised older boys have been unable to get profiles onto the recruiting website. Tony will send instructions to managers.


Lori Graham advised the Board she can get bulk items (i.e. SCA bracelets) to sell or give away at the tournament.

5.            Old/New Business:


            Karen Turner suggested that for the next Board meeting the team managers be invited and/or she is willing to host an appetizer/meeting at her house.  Josh suggested the Board host a manager tribute quarterly to facilitate communication.  Gina suggested the treasurers be included.  Agreed that a manager/treasurer “Welcome Back” gathering would be hosted on Thursday, August 3 at Karen Turner’s house.  An email will be sent by Tony.


            Terry Catton – Treasurer’s Report.  NorCal Cup – took out $1 amount due per team.  Need information from Dave Derby about costs and expenses.  Tony advised he can provide the report.  (side-bar - NorCal scheduling has been less then ideal and it’s been hard to get other teams to respond.  NorCal League changing and scheduling will be more set. Nor Cal Spring League – is mainly an opportunity for coaches to get to know their team and start playing before tournaments).


PYSL paid up to date.  Have good working relationship with PYSL registrar and they will attempt to remain current and not register players if they owe SCA money.

Fireworks – current profits $4000. Still owe stipend of $1200 and a few other expenses.  Recommended the Booster Rep call the landowner to see if they will lower the stipend.  Profits were low all over this year.  It was noted that the location for our booth was in a “commuter” area and people were not as apt to stop.

Human Race - currently have $3795.87 in unallocated funds from the Human Race.  PA coordinator suggested the funds going to PA recipients for working in the fireworks booth be taken from the PA fund, not the fireworks profits.

The treasurer suggested the fireworks profits and Human Race funds be combined and allocated to the teams.  The total divided by 26 teams would equal $256 per team.

Motion (Josh) to allocate $256 to each of the 26 teams based on fireworks profits and Human Race monies.  Any additional money received back (i.e. stipend)  will also be allocated to the teams.  Motion 2nd.  Passed - unanimous.


Teams will be advised via email to their managers :  Fireworks booth was not as successful this year based on location and low sales overall in the Petaluma area.  A percentage of the compensation to the teams has been subsidized with the Human Race monies the league received.  We look forward to better sales next year.


Letters are going out to players owing money.  Team treasurers will be given a copy of the letter and if no money received by August 2, 2006, certified letters will follow.   It was suggested the letter state that if no payment then the player will be suspended from training and play.  11 players still owe registration money.  It was suggested that there be a change to the packets at registration so that if the player can’t pay that night they take the packet and mail all the forms back with the money on a certain date. If everything is not returned by then, the player is not added to the team.  Working with one team that owes a great deal of money.  Operating Budget will be sent to all on the Board.

Player Assistance -  The committee would like to make the first distribution to the players.   They have worked out an allocation for all the volunteers to date (17 total) and used a compensation rate of $15 per hour per volunteer.  There is $6000 in the budget.  Cost of first distribution is $2150.

It was suggested that a letter go to the volunteers that if they do not participate then they may no longer be eligible for PA.  If given 2 opportunities and/or if sign up for an event and do not participate then eligibility will be rescinded.  Matter tabled.

Motion (Katya) to distribute the funds from the PA budget as outlined by the committee and draft a letter to managers and treasurers advising they are awarding x amount of dollars to the players.  Additional opportunities are available.  Please contact Gina Monraz for information.   Motion 2nd.  Passed – unanimous.


PA policy -  additional changes made.  Discussion regarding changes.  Motion (Tony) to approve the Player Assistance policy as amended.  Motion 2nd.  Passed – unanimous.


1st Aide/CPR class – in the process of finalizing dates.


Sonoma County Classic – Committee meets every Tuesday at Sports City at 6 p.m. Chairs for all positions have been assigned.


Player Injury Form (Rick) – discussed suggested form.  Recommended attach insurance form to Player Injury Form with injury recap/report rather then complete two forms.  Forms will be distributed at the Manager’s Meeting on August 3.
