SCA Board Meeting Minutes - May 22, 2006Team Reps present: Teams without representation will be assessed $25. Make sure that you have a back-up. I. Budget: Terry Catton, treasurer, presented the budget. It was reviewed by the Board, adjustments were made. Program fees will be adjusted to 26 teams (from the 27 shown on draft.) Revised budget for final approval will be presented at next meeting on June 12th. II. Injured Player Policy: Players will be held responsible for full “team expenses.” Board discussed but needs to arrive at consensus for percentage of monthly program fees to be paid by injured players. Suggested percentage is 25% to be collected on a MONTHLY basis. III. SCA Secretary position is open - Stephanie Derby is resigning this position due to family and work commitments. Interested applicants should respond to Tony Behen. IV. CYSA Manuals -Team managers should have a copy as it provides assistance with “most everything.” V. Player Code of Conduct - managers should download this form from CYSA website and have players complete/sign and file in team binder. New form needs to be completed each year. VI. Coaches’ Reimbursement: Motion made and carried (6-0-1 abstention) to increase mileage to standard .445 per mile, outside District V(exception: mileage will be paid for Arcata play). Team treasurers should calculate Gas vs. Rental car if travel is beyond Fresno - it may be more economical to rent car. Per Diem: $54 day. Receipts are encouraged - can use MapQuest to prove mileage. Coaches must submit their expenses within 30 days. VII. New Posting on Website “Lost and Found” - FYI VIII. DOC Report: U-9/10 Tournament: players had fun; improvement seen * NorCal has makeups due to rain * Policies re Play-Ups (on individual basis and with awareness given to graduation year), Season Length (U-9 to 14 will begin April 1st -unless they advanced deep into State Cup then start date is later, and U-15 to 19 will begin May 1st due to State Cup in April), and Other Sports - (flexibility and “soccer should take Fall and Winter priority“) will be posted on the website. Josh will speak with coaches re policies and their team’s and personal support and understanding for such. Coaches are providing alternate times to practice with their other teams. * SCA Labor Day tournament (“Sonoma County Classic”) - Games to be played on Saturday and Sunday only on Casa Grande, Rancho Cotate, Prince Park, and Lucchesi fields. Space for 64 teams (8 in each age group). Participants may receive passes for SSU Men’s Soccer game that weekend. Tournament will be fee-free for SCA teams; however, they will need to participate in some way (fundraising opportunities, field marshalling, etc.) Thanks goes out to SCA board representatives for this tournament idea! IX. Fields: Tracie reported that SCA has two days at Lucchesi (Monday and Thursday). Casa Grande is available for two days as well. Other field availability will include Corona Creek Elementary or Sonoma Mtn. Contact Tracie for availability. X. District V Meeting: to be held soon (TBA). EVERY TEAM Must send a Representative (Coach or Team Manager) as this is when District league games are scheduled. Come prepared with your black-out dates (I.e. talk to your team prior to attending to identify dates wherein you may have several players committed to other activities.) XI. Equipment: teams have received new equipment (balls, bibs, cones, etc.) Each coach will also receive a first aid kit. ***TEAM MANAGERS should assemble a binder, to place with first aid kit, that includes MEDICAL RELEASES for CYSA and US CLUB SOCCER. XII. URGENT NEED FOR TEAM FIELD REPS!!!!!!- Fields needs re-striping each week - this is a ½ hour weekly job on Sonoma Mtn. and Casa Grande fields. (Note: Great opportunity for Player Assistance families.) Paint machine provided! Contact: Rick Mitchell (see website for his e-mail address.) XIII. Petaluma Fields: City has taken over this project - youth sports will definitely be asked to help raise funds. Plan is for four synthetic, lighted fields - name to be EAST WASHINGTON PARK. Seed money is there. XIV. KOA Day: “Club Atmosphere Building Day” on Sunday, June 4th. Teams have flyers for this fun time of picnic BBQ, swimming and team competitions, hay rides, music by the pool. Please respond to team managers with your plans to attend this event - HEAD COUNT NEEDED by next Tuesday. Donations and volunteers are needed - please contact Lisa Geoff ion (see flyer.) XV. CYSA Registration: All paperwork will be submitted by the first week of June - Karen needs all birth certificates and photos ASAP. ALL adults who need player passes must submit their materials by then also. E-mail Stacie Elliott with questions for US Club Soccer. XVI. Referee Class:20 new youth referees and 2 adults have completed the class. Another class will be offered in July - our league pays the class fee for this 16 hour class. Dana attended a mentoring class and will plan and enact a support program for our referees. XVII. Player Assistance: Gina requested submission of Player Assistance forms so the Board can get a clear idea of our needs. Fundraising ideas in place: phone and ink jet recycling, E-Scrip and Community Smart (one family made $126), Human Race - ***on-line fundraising participants need to go on-line and print out a report so Gina can verify. Paper Scrip will be available soon. XVIII. Fireworks Proposal: Motion to set aside$1200 stipend for Petaluma Booth Motioned and Carried (7-0). Petaluma site will be at D and Weller. Coordinator for Petaluma NEEDED: need trailer to unload and load for one week, schedule workers. XIX. TEAM TREASURER TRAINING - if you missed the April meeting, please attend the meeting this Thursday, MAY 25th from 6:30 - 8:30 p.m. at 7721 Melody Drive, Rohnert Park (Terry’s home.) XX. Josh commented that SCA is in a great place. We need volunteers to continue to prosper. We have grown from an initial 6 teams to 26!
