SCA Board Minutes - August 8th 2005
Meeting called to order by Danny Ortega at 7 p.m. He introduced Jim Lewis as the new SCA representative to the RPSL board. Cindy Guy has resigned from this position on both boards.

COMMUNITY SMART: Kathleen Kelly provided information on this electronic fundraising program which is funded by merchants. Disbursements are made quarterly. Patrons just swipe their Community Smart card when making purchases. Some of the local merchants are: Oliver’s Market, Copperfield’s Bookstore, McLea’s, and Sleep City. When registering, be sure to include child’s team name (i.e. SCA 93G). Sue Bolt is SCA contact for this program.

SCA92G – Lexus Humphry: Lexus has been honored for her outstanding play and attitude by being invited to attend the ODP regional camp in Idaho.

MOU: Dave reported that the MOU with RPSL is due to expire next year. SCA is involved in discussion to renew such. Dave, Danny and Tony will attend the next meeting which is scheduled for August 11th.

PROCEDURES FOR CASE INJURY REPORTS & RED CARDS AT CYSA EVENTS: Danny explained the procedure for receipt of red cards (players need to sit out a designated number of games). When sitting out games, a “Suspension Verification” form needs to be signed by the referee AFTER the game; notify the referee BEFORE the game so referee knows that the player is present and “sitting out.” – District V rule (may need to explain this to the refs as they may not be familiar with District V ruling.)

Injuries: Managers need to have the form to report case injuries at all practices, games and tournaments. Reports must be submitted ASAP after injury occurs. Reminder: CYSA insurance is secondary. For US Club events – be sure to use THEIR documents which are available on the US Club website.

KICKIN’ CHICKEN SOCCERFEST – August 13-14th: Volunteers needed!! Fundraising opportunity – teams can sell water, etc. at Sonoma Mtn., Meadow and La Tercera fields. Check with Danny if your team is interested.

DOC REPORT: Josh reported on CalCup. Three teams went to the quarterfinals. SCA93G placed second.

Josh met with coaches to assess this year’s program success to date. They are pleased overall, and have identified two areas to improve: 1) more regular practice games for all teams, 2) increase White teams opportunities to train with and play with first teams.

SCA 90G placed third in Oregon tournament.

Josh is serving as interim coach for U11B team.

College Nite is being scheduled for September. Excellent opportunity for 14 – 17 year olds to explore opportunities.

SCA Recreational camps are in progress.

SSU fields are closed for three weeks due to Eagles concert. Academy to meet at M Park.

All players and families are encouraged to attend SSU practices and games to be inspired by the excellent play of our local university players.

REGISTRAR’S REPORT: Terry announced the arrival of adult US Club passes. She’ll notify people by e-mail when they’re ready. If you need assistance in preparing a “Custom Roster” for guest players you may e-mail Terry. NOTE: Coaches with multiple teams should carry their own pass in their wallet.

FIELDS: Tracie requested that coaches contact her ASAP re practices schedules for Petaluma. Schedules will go out to coaches AND managers by the beginning of next week.

OLD MEXICO FUNDRAISER: Net profit – approximately $130.

LEAGUE PLAY: begins September 10th (three teams will begin on 9/9/05). Many Friday and Saturday games under the lights at M Park have been scheduled. Teams will be able to use the snack bar for fundraising. Reminder: snack bar has electricity. Teams must provide everything for selling and preparing food (i.e. there are no coffee pots, etc.)

FIREWORKS BOOTH: $41,740 sold – net profit is approximately $17,000.

TREASURER’S REPORT: Kathi was absent from meeting but she provided the following information:

   1. All statements went out to treasurers at the end of July. All concerns have been rectified or are being followed up on.
   2. Reconciliation of July bank statement should occur this week with updated statements being sent out at end of week. (Deposit info is from 8.5.05)
   3. No accounting info on fireworks booth – will forward when received.
   4. Teams receiving balls should expect to see billing by September accounting.
   5. Reminder to treasurers – provide player information to all families so they are aware of the team’s and their individual financial standing. SCA is planning on implementing an audit of player accounts – details and implementation guidelines will be provided will be forwarded when known.
